Connect QuickBooks Desktop

Navigate to the β–¦ App Menu, where you will be able to see all of the Apps that are available for your account.

Once here, select QuickBooks Desktop. This will take you to the QuickBooks Desktop App Sync center. Here you will see an array of options, click Connect to download the connection file called inbuild_qb_desktop.qwc

πŸ’‘ Ensure that QuickBooks Desktop is on the same computer where the file is downloaded. Some users are utilizing VMs (virtual machines) to run QuickBooks Desktop, and this will prevent the connection file from communicating with QuickBooks.

Once you've downloaded the QWC File, log into QuickBooks Desktop. Navigate to File > App Management > Update Web Services. The QuickBooks Web Connector will open. Click Add an Application in the bottom-right corner. Choose the inbuild_qb_desktop.qwc file you downloaded earlier from inBuild.

πŸ’‘ For the first time connecting a new account, a QuickBooks Administrator will have to make the connection. Once a connection has been established with an admin account, any other user can setup a QuickBooks Web Connector connection with inBuild.

A new entry will appear in the QuickBooks Web Connector labeled inBuild. Enter your inBuild Password (same password you login with) into the Password field in the second column to the right. Finally, select the β˜‘οΈ Checkbox to the left of the entry and click on Update Selected. The progress bars will begin to load, and a success message should let you know that you have successfully connected with QuickBooks Desktop.

πŸ’‘Ensure you are in single-user mode to run the web connector. Multi-user mode will disrupt the connection between the QuickBooks web connector and inBuild.

Select Invoices You Want to Sync

Start by going into the Accounts Payable tab, and navigate to the invoice[s] you want to send. If you need to send more than one invoice you can bulk send by clicking the β˜‘οΈ Checkbox at the top to select all.

You can then click on the πŸ”½ Options dropdown in the top-right, where you can see the number of invoices selected to send. Select arrow ⏩ Send to App to push these documents into the staging area of your connected apps.

Sync With QuickBooks Desktop

Thereafter, you will want to move to the top of the page to the navigation bar and open the β–¦ App Menu - the icon with six squares. Now select the option for QuickBooks Desktop. Here you can monitor the different statuses for the invoices.

Here you will have three tabs to monitor your synced invoices. The options are: Ready to Export, Failed to be Sent to App, and Synced with App.

πŸ’‘ If an invoice fails to sync, find it in the Failed to be Sent to App tab and hover over the Failed status. This will show you exactly what went wrong.

Export to QuickBooks Desktop

In the Ready to Export tab, navigate to the invoice you want to export. If you need to send more than one invoice you can bulk send by clicking the β˜‘οΈ Checkbox at the top to select all.

Finally, click πŸ”Ό Export to sync your data with QuickBooks Desktop. Ensure you are logged into the correct QuickBooks Desktop account and have the QuickBooks Web Connector open and running.

How do I fix QBWC1039 Error when connecting to the Web Connector?

If you are getting an error that says QBWC1039 when trying to connect to the QB Web Connector, please follow these steps:

  1. Ensure you are signed in as an Admin and in Single-User Mode

  2. Under Edit, select Preferences

  3. On the left side, select Integrated Applications

  4. Switch the tab at the top to Company Preferences

  5. Click the check box under Allow Access next to inBuild
