Syncing invoices to QuickBooks Online

Sync invoices from inBuild to QuickBooks Online. Bills will be created in QuickBooks once successfully synced.

Connect to QuickBooks Online

Use the "Connect" button at the top of the page to login through Intuit and grant access to inBuild to access your QuickBooks Online account.

This is located on the "QuickBooks App Sync" page.

Select Invoices You Want to Sync

Start by going into the Accounts Payable tab, and navigate to the invoice[s] you want to send. If you need to send more than one invoice you can bulk send by clicking the β˜‘οΈ Checkbox at the top to select all.

You can then click on the πŸ”½ Options dropdown in the top-right, where you can see the number of invoices selected to send. Click on ⏩ Send to App to push these invoices into the staging area of your connected apps.

Move to the top of the page to the navigation bar and open the β–¦ Integrations Menu - the icon with nine square dots. Now select the option for QuickBooks.

Here you will have three tabs to monitor your synced invoices. The options are: Ready to Export, Failed to be Sent to App, and Synced with App.

Export to QuickBooks

In the Ready to Export tab, select to the invoices you want to sync. You can send multiple invoices at once by simply clicking the β˜‘οΈ Checkbox at the top to select all.

Finally, click πŸ”Ό Export to sync your data with QuickBooks.

πŸ’‘ If an invoice fails to sync, find it in the Failed to be Sent to App tab and hover over the Failed status. This will show you exactly what went wrong.

Common Invoice Syncing Errors

If a number of invoices are still in the "processing" state and have not changed status, verify your QuickBooks account is still connected. Click the "connect" button to reconnect your QuickBooks account and attempt to sync the invoices again.

If an invoice fails to sync due to "the specified record does not exist" verify that the project and vendor name match references that exist in your QuickBooks account. If you use different naming formats in inBuild, then verify that your QuickBooks project mapping is updated in the settings > project settings > project > integrations tab. Each individual project can be manually mapped to its equivalent in QuickBooks. Use the "Customer:Project" format that QuickBooks uses to map these explicitly.
